Terms of service

Last updated: 1 October 2026

Template notice: this is a starting-point draft, not legal advice. It is being completed and reviewed before being relied on.

These terms are an agreement between [Legal entity name — to confirm] (“we”, “us”) and the business that uses LeadFlow AI (“you”). By creating an account or using the service you accept them on your business’s behalf, and confirm you are authorised to. LeadFlow AI is for business use; it is not offered to consumers.

1. The service

LeadFlow AI helps you find, organise and contact businesses that fit your ideal customer: company data from public sources, scoring, a shared book of targets, and tools to plan and send outreach. We may improve and change features over time.

2. Accounts and your organisation

  • Each user needs their own account. Keep sign-in details secure and tell us about any misuse.
  • Your organisation decides who joins and what role they have. Roles limit what each person can see and do.
  • You are responsible for activity under your organisation’s accounts.

3. Plans and payment

Plans and prices are as shown when you sign up or upgrade. Paid plans are billed in advance and renew until cancelled. You can cancel at any time and keep access until the end of the paid period. Fees are not refunded except where the law requires.

4. Using it lawfully

You agree to use LeadFlow AI lawfully and fairly. In particular, you are responsible for your outreach and will:

  • comply with UK GDPR and the Privacy and Electronic Communications Regulations (PECR) when contacting people;
  • contact individuals and sole traders by email only where you have their consent or another lawful basis;
  • honour every opt-out promptly (LeadFlow helps by blocking outreach to unsubscribed contacts);
  • not send spam, misleading messages, or anything unlawful, and not try to break, overload or copy the service.

We may suspend accounts that break these rules or put others at risk.

5. Your data

Data you add to your workspace stays yours. We use it only to provide the service to you, and we act as your processor for any personal data in it, following our privacy policy. A data processing agreement is available on request. You can export your data while your account is active. We delete it within 90 days after your account closes, unless the law requires us to keep it.

6. Data accuracy and AI

Company information comes from public sources and third parties, and may be incomplete or out of date. Scores, rankings and drafted messages are produced with the help of automated and AI tools and can be wrong. Check anything important before relying on it, and review every message before it is sent.

7. Ours and yours

We own the LeadFlow AI software, design and brand. You own your data and your content. You give us permission to host and process it only to run the service for you.

8. Availability

We work to keep LeadFlow AI available and secure, but we do not promise it will be uninterrupted or error-free. We may carry out maintenance, and will try to give notice of planned downtime.

9. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to limit. Otherwise, we are not liable for indirect or consequential loss, or for lost profits, revenue or data, and our total liability in any 12 months is limited to the fees you paid us in that period (or £100 if you use a free plan).

10. Ending the agreement

You can stop using the service and close your account at any time. We may end or suspend the service for you if you break these terms, or with 30 days’ notice if we stop offering it.

11. Changes and law

We may update these terms. We will tell you about significant changes before they apply. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
